Privacy policy
Draft, waiting for legal review. It describes what Holicoach does today; the legal wording, retention periods and the controller's details will be confirmed before launch.
Who we are
Holicoach provides coaching software and this website. Contact us about privacy at privacy@holicoach.com.
On this website
- Page views. When a page loads, we record the page, the website you came from (its address only, never the full link) and any campaign tags in the link. We don't record your IP address, browser details or an identifier, and we use no cookies. If your browser sends Global Privacy Control or Do Not Track, we don't record the view at all.
- Enquiries. When you ask about coaching, we keep your email address, what you asked for, any message you write, the page you were on and where your visit came from. We share your email address and message with the coach you choose, and nothing else.
- The protein calculator and meal builder run in your browser. Your height, weight and answers never leave your device.
- The check-in template. If you ask for it by email, we keep your email address to send it, and to send tips only if you ticked that box.
In the app
- Account details: your name, email address and sign-in information.
- Coaching information: your check-ins, plans, meals, sessions and messages, and, if you add them, weight, waist and photos. This includes health information, which we use only with your explicit consent and only for your coaching.
- Safety-screen answers: used to work out the outcome. Your coach sees the outcome, never your answers.
- Payments: handled by Stripe. We keep payment records, not your card details.
You choose what you share with each coach, and can change your choices in the app. You can download everything, or delete your account, at any time.
Who processes data for us
- Cloudflare hosts the website and the app. App data is stored in the European Union.
- Stripe processes payments, as the payment provider of your coach.
- Cloudflare Email Service, and Resend as a backup, send our emails.
- Anthropic provides the AI that drafts plans for coaches. It receives only check-in numbers, the current plan and the coach's rules, never names or contact details, and only for clients who agreed to drafts.
- Sentry receives error reports, with no personal data in them.
How long we keep it
We keep account data while your account is open, and delete it when you delete your account, except payment records, which accounting law requires us to keep without your name. Retention periods for enquiries and records are being confirmed in the legal review.
Your rights
You can ask to see, correct, download or delete your data, object to how we use it, or withdraw consent at any time. Most of this you can do in the app. For anything else, email privacy@holicoach.com. You can also complain to your data protection authority.
